Introduction

Protecting the privacy and the confidentiality of personal information - over the Internet, on the telephone, or operationally with our software - has always been fundamental to the way BusPlanner Inc. (“BusPlanner”) conducts its affairs. BusPlanner operates on the basis of a Privacy Policy and related procedures that guide the handling of personal information. This privacy statement has been created to demonstrate BusPlanner’s firm commitment to protecting the privacy of our clients, partners and those we indirectly serve. This policy and related procedures are consistent with the Canadian Standards Association Model Code for the Protection of Personal Information (herein “CSA Model Code”) and applicable privacy legislation.
 

Privacy Statement

This policy deals only with personal information handled by BusPlanner. Personal information is information about an identifiable individual, excluding business contact information. The following explains how BusPlanner handles personal information – both as part of our public business operations and the software operations we perform under contract with our clients. BusPlanner reserves the right to change this policy and it may be updated periodically. These changes may affect the use of personal information.

BusPlanner is accountable for all personal information under its control. BusPlanner’s Privacy Officer is designated as responsible for BusPlanner’s privacy policy. The Privacy Officer can be reached as follows:

Any questions about BusPlanner’s handling of personal information should be directed to the Privacy Officer. In cases where the question concerns an access request, the request can be addressed directly to our Privacy Officer. Please be aware that BusPlanner takes the privacy of our clients very seriously and NEVER provides client information to any outside party unless compelled by law.
 

Purposes for Collection, Use and Disclosure of Personal Information

BusPlanner does not, as a practice, collect personal information from the public for any reason. However, BusPlanner does handle personal information as part of the implementation of the products and services we provide. This personal information is protected contractually with each client before work is performed or BusPlanner accepts such data from our client.

Business Information we collect is as follows:

  • Names and contact information for registration for training courses, user conferences, or other meetings held by BusPlanner; and
  • Client contact information solely for the administration of business with our clients.
BusPlanner will not use personal information for any other purpose than identified at or before the time of collection. BusPlanner will NEVER sell business information. BusPlanner will not share business information with outside agencies without the consent of the client.
 

Business Services

BusPlanner does not collect personal information via our corporate websites.

BusPlanner may collect personal information for the purpose of administrating our business operations with our clients. Such information is collected only as required either operationally or by law. Client information is kept secure and accessible only to those employees who require it. Client information, including financial records, is kept for a period of seven (7) years as required by law.

Client information including names, contact information, or any personal identifying information will never be sold. Contact information – including email addresses - will be used in regular client communications and in regularly scheduled business correspondence such as newsletters and notices.
 

BusPlanner Product & Services

The primary product of BusPlanner Inc. is BusPlanner. This product is a full-featured student transportation management suite of software products designed to assist in the management of school purpose transportation. BusPlanner’s services include database implementation for BusPlanner clients as well as on-going support of the BusPlanner software environment for our clients.

BusPlanner is committed to maintaining the utmost security for personal data while we have it in our care. Personal data used in the preparation of BusPlanner databases is stored only on our in-house corporate data server. Only those employees who require access to data have such access. ALL BusPlanner employees have police checks for added protection.

Before any personal data is accepted from or on behalf of a client, BusPlanner does sign a contract with the client clearly outlining privacy and data protection requirements. As part of the deployment of our product to individual clients, personal student information is ‘collected’, managed, and delivered back to the client in the form of a BusPlanner database. Sensitive data is deleted from BusPlanner’s servers and computers when projects are completed. Project data is NEVER provided to anyone outside BusPlanner or the client. Client data is not used for purposes outside the scope of project for which it was provided.

Often, clients allow BusPlanner to keep a recent copy of their database on our in-house server for purposes of supporting their staff with questions they may have about their individual BusPlanner environment. This data is protected in the same fashion as it would be if it was project data.
